As we all know, the word “Delegation” defines the act when you authorize or entrust another with a responsibility of a task or specific action.
Effective delegation increases efficiency of a team, organization or even a home. It enhances the development of the team as each member is growing and developing themselves through their role. The family as a social institution is a great example of how delegation can not only help members to be happy but how it instills security and responsibility in children as well.
When I think of delegation, the one person whom I consider a connoisseur of this art is Ashokji.
Having seen him in various leadership roles, I have always considered that his greatest skill as a leader is his skill in effective delegation. This was also one of the reasons that he has never appeared flustered or anxious in a situation that needed tremendous confidence and presence of mind.
As a leader, his focus had always been on the goal and his attention completely on how best to achieve it.
A man of few words, cool and calm, he was also extremely astute to select the perfect person for the role or job. His understanding of human behavior and the inherent skills that his team needs to have, also reflected in his success as a leader. His leadership skills also lay in his clear understanding of how a matter needs to be addressed and how effectively it needs to be delegated for the achievement of success.
Effective delegation is all about –
1) Being Able to Relinquish Control & Yet Be Attentive
Many have the fear that without them at the helm of the matter, the entire organization will collapse. The attention to the responsibilities of your position is not be compromised but having a wonderful team who manages their tasks well will make the process easier. Give the team the roles and responsibilities that come with the freedom to work and manage their job. Not only will this help them become more responsible towards their job, this could give them a glimpse of the trust you have in their ability. You may also notice a certain respect from your team – a respect that is borne of the faith you have in their capability.
1) The Clarity of Who is Responsible for What
Imagine a home, where there is chaos because each member is not certain of their resposnibility. The lack of stability or security in such a home would be horrifying. Be it in the corporate or personal environment, the clarity of roles and work makes the process of work completion smoother and possibly with less hiccups too.
2) The Suitability of a Candiate for a Specific Role
Be it in the corporate environment or personal life, the competency of a person in a role is dependent on their capability, aptitude and attitude. Selection of a person based on these factors play a powerful role in the success of the demanded work required from the person.
3) How You Say It
Any responsibility that you are in charge of bestowing on someone is largely dependent on how you frame the job expectations to the candidate.
Imagine if the role expected of a person is that of a telephone sales agent and you are required to convince the candidate regarding the benefits of the job. Would you rather highlight the importance of the job or emphasize how the job would enhance the candidate’s understanding of customer psychology and experience in effective communication?
4) Ownership Of Action
Allow the delegated task to be implemented by the person to their ability. The process through which they implement may not be how you would have implemented but allow them to be accountable for the task. This is an excellent technique of helping others grow and become more responsible.With appropriate review meetings, the performance can be evaluated and feedback given for further improvement.
5) Involvement of Team
As you encourage the team to grow and take responsibility of their actions, encourage them to participate in decisions and planning. This will further enhance the significance of the contribution each person makes for the success of the organisation,
It is undoubtedly a fantastic leader who can effectively delegate. A leader indeed is not one who believes that he alone has to get things done, on the contrary, their skills in delegating and motivating their team speaks volumes of their success.
